Privacy policy

Receptionist (receptionist.org.uk) is operated by Gelosia Ltd (UK). This notice explains what personal data we process when you use the product. It is written for UK GDPR / Data Protection Act 2018. It is not legal advice.

What we collect

• Account data — name/email, password hash, business details you enter.
• Billing data — handled by Revolut Merchant (we store order/subscription IDs, plan status, invoices).
• Phone configuration — numbers assigned to your business (via Telnyx).
• Knowledge — website extracts, topics, and documents you upload.
• Call metadata & usage — duration, timestamps, call IDs, billable minutes.
• Call content — voice AI processing and (where enabled) transcripts/summaries via our voice provider.
• Calendar — if you connect Google Calendar, we store OAuth tokens and create booking events you authorise.

Why we process it

• To provide the AI receptionist service (contract / legitimate interests).
• To bill you and prevent fraud (contract / legal obligation).
• To improve reliability and support (legitimate interests).

Subprocessors (who helps us run the service)

• Amazon Web Services (eu-west-2, London) — hosting, database storage, transactional email (SES).
• Retell AI — real-time voice conversation (speech, LLM, optional transcripts).
• Telnyx — UK phone numbers and SIP telephony.
• Revolut Merchant — card payments and checkout.
• Google — Google Calendar when you connect it.

Call audio and transcripts may be processed outside the UK/EEA by Retell depending on their region settings. Confirm the Retell DPA / data region before relying on this for regulated workloads.

Retention

Account and billing records are kept while your account is active and as required for tax/accounting. Call usage events are retained for billing and support. Uploaded documents remain until you delete them or close the account. You can disconnect Google Calendar at any time.

Your rights

You can request access, correction, deletion, or restriction of personal data where applicable. Contact support@receptionist.org.uk. You may also complain to the ICO (ico.org.uk).
